How to add an image to a Word mail merge report

1: Edit report in EMu

Note: Ensure that Word is closed before editing a report.

To edit a report in EMu:

Search for or retrieve a group of records in the module with the report to be modified.
Select Reports on the Home tab of the Ribbon to display the Reports box.
Select the report to be edited and then click Properties .
The Report Properties box displays.
Select the Fields tab and add the required multimedia field(s) to the report:
Note: If you include multimedia from different modules in the report, and the parent folders have the same name (Identifier: (Resource Information)) in the image above), it is necessary to rename one (or more) of them so that they are all named differently. The Multimedia fields themselves MUST NOT be renamed. In the example above, if you were including multimedia from two different modules and both parent folders were called Identifier: (Resource Information), you would rename one of them (by clicking the field and typing a new name), but you would not change the Multimedia field for either of them.
When a Multimedia field is added to the report, the tab is added to the Report Properties box.

Select the Multimedia tab and accept or change the options:

Multimedia	Description
Use first image only	If there are multiple images in the record, only the first will display in the report. Note: If you include other multimedia fields, such as Creation Date, this detail will display in the report for all images, not just for the first image.
Use all images	All images in the record will display in the report.
Note: PDFs are treated as images and may be included in your report as an image if either Use first image only or Use all images is selected. If necessary, it is possible to filter out PDFs in Crystal Reports.
Use first multimedia only	Only the first multimedia resource will be referenced in the report. Note: If you include other multimedia fields, such as Creation Date, this detail will display in the report for all images, not just for the first image.
Use all multimedia	All multimedia resources in the record will be referenced in the report.
Note: Select Use first / all multimedia to reference any multimedia available (images, audio, video, etc.). Select Use first / all images to display images (and an image of one or more PDFs) only.
File Delimiter	Description
\	Defaults to Windows.
Resolution	Description
Height / Width	Specify the desired resolution of images to display in the report, e.g. 200 x 200. Each image in EMu can have multiple resolutions. When a resolution is specified here, the version of an image closest in size (equal to or greater than the resolution specified) will be displayed. If no resolution is specified, the master image is displayed (the first image listed in the Resolutions table on the Resolutions tab of the Multimedia module).

On the Report Type tab, click Download to display the Download Report to Edit box.
Give the report a descriptive name and click Save.
Microsoft Word opens and generates a mail merge document. However, the new multimedia field has not yet been added to it.
Close the generated mail merge document without saving it.
Close the main report document.

Next we edit the report in Word.

2: Edit the report in Word

To include images in the mail merge report:

Open the main report document (the one just created), enabling macros when asked.
In the main report document, select ALT+F9 to display field codes.
As before, we need to add a table to the Word document into which we'll insert the image. Place the cursor where the table is to display (in this example, at the bottom of the page) and add a single cell, single row table:
With the cursor in the cell, click Insert Merge Fields in the Mail Merge Toolbar.
Note: If the Mail Merge Toolbar does not display, select Tools>Letters and Mailings>Show Mail Merge Toolbar from the MS Word Menu bar.
The Insert Merge Field box displays.
Select the key field that links the main .csv file (eloans.csv in this example) and the attached table from which we wish to draw data (MulMulti.csv in this example). In this example, we select eloans_key:
Click Insert and then close the Insert Merge Field box.
The field code is added to the table.
Save the main report document.

Next we need to add Visual Basic code.

3. Write the VB code

Select Tools>Macro>Visual Basic Editor (ALT+F11) from the Menu bar.
The Microsoft Visual Basic editor opens.

Previously we added a second table to our Word document. We already have code that processes tables, so our new code will be added immediately after the code for table one (the one that includes Object details in the report):

Previously we added code that removes borders from tables (.Borders.Enable = False); we'll move it out of the code for table one, so that it can apply to both tables.

Edit the VB code to close the main report document.
Save the report back to EMu.
